This notice explains how LateSurveys ("we", "us") collects and uses personal data through latesurvey.com. We provide out-of-hours removal surveys to removal companies in the United Kingdom on a business-to-business basis. LateSurveys is being established as a company registered in Canada; because we offer services to businesses in the UK and process personal data of individuals in the UK, we comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who is responsible for your data
LateSurveys is the data controller for account data belonging to our removal-company customers. For the personal data of a removal company's end clients (householders whose details are entered when booking a survey), the removal company is the controller and we act as their processor, using that data only to carry out and document the survey they have booked. What we collect and why
Account data — your name, business email address and password (stored as a secure hash). Used to operate your account, on the lawful basis of performing our contract with you.
Booking and survey data — the job reference, end-client name, phone number, email address, contact preference, estimated move date, both property addresses, access details (floors, lifts, parking, access notes) and service requirements (packing, unpacking, dismantling, reassembling), together with survey documents (usually PDFs) uploaded to a booking. Used to carry out the survey you booked and return the results to you, on the lawful bases of contract performance and our legitimate interest in delivering the service.
Billing data — a record of charges, payments and refunds on your account. Used for accounting and kept to meet legal record-keeping obligations. Payment card details are handled by our payment provider at the point of booking and are never stored on this site.
Emails — we send booking confirmations to the account holder and to the end-client email supplied on the booking, and an operational notification to ourselves.
We do not use tracking cookies or analytics. The only cookie set is a session cookie strictly necessary to keep you logged in.
International transfers
Because our surveyor and administration are based in Canada, personal data entered on this site may be accessed from Canada. Canada benefits from a UK adequacy decision for data protected under PIPEDA, and we additionally limit access to the data to what is necessary to deliver the booked survey.
How long we keep data
Booking and survey data is kept while your account is active and for up to 6 years afterwards to meet contractual, tax and legal obligations, then deleted. You may ask us to delete end-client survey data earlier once a job is complete.
Your rights
Under UK GDPR you (and end clients whose data we process) have the right to access, correct, delete, restrict or object to processing of personal data, and to data portability. To exercise any right, email bookings@cuft.co.uk. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).
Security
Passwords are stored hashed, all forms are protected against cross-site request forgery, survey documents are held outside public web access and can only be downloaded by the booking owner or our administrator, and the public availability calendar is generated from a restricted data source that contains no prices or personal data.
